OpenWells® Software Features
Users can be prevented from making changes to data by locking the data at various levels and setting passwords to protect the data. The locking of data in OpenWells software is applied to the EDM™ database and therefore will be applicable to any other EDM applications using the database and accessing that data. Data locking is performed from within properties dialog boxes.
Project Data Locking allows the OpenWells software implementation teams to configure data fields to ignore the primary data lock and remain editable until an alternate Project-level data lock is set. For more information, see Project Data Locking.

Locking Company/Contractor Properties
Locking Levels Below the Company/Contractor Level
Data Locking can be implemented in several ways:
the Company and Contractor properties can be locked allowing users to have edit access to all nodes below without allowing edit access to the Company/Contractor node
all nodes below the Company/Contractor level (Project, Site, Well, Wellbore, Rig, etc.) can be separately locked restricting edit access to the data contained within the locked nodes. Note: Rig Equipment cannot be locked.
Reports can be locked (either in the Reports List or from within the report itself using the File > Properties menu path) restricting edit access to the Report contents.
To implement data locking passwords must be set in the Company Properties or Contractor Properties dialog boxes. If passwords are not set data objects can be unlocked by any user.
If an item is locked, a small lock appears in the corner of its icon in the Well Explorer () tree or the Report List (
).
The Company and Contractor Properties dialogs contain a Company/Contractor Level button, a Locked Data button, and a Locked check box. The buttons are used to set up passwords and work independently of each other.
Note: All levels are locked individually - this means that locks do not cascade. Therefore, a Well can be locked but this does not lock all of the data below the Well in the hierarchy.
The Company Level and the Contractor Level buttons (in the Company Properties and Contractor Properties dialog boxes) are used to set a password to protect the data at those levels only. It does not impact the accessibility of any data below the Company or Contractor in the hierarchy.
The Locked Data button is used to enter a password that must be used to unlock any data that is locked using the check box below the Company or Contractor level in the hierarchy.
Locking Company and Contractor Properties
To lock the Company/Contractor:
Open the Company/Contractor Properties using the menu path: File > Properties.
The Company/Contractor Properties window appears. Click the Company/Contractor Level button in the Passwords area of the General tab.
The Change Company/Contractor Level Password dialog box appears.
If it is a new password, only the New Password and Confirm Password fields will be available. If a password is being changed the Old Password field will also be available.
This password will then be required if a user wants to deactivate the Locked check box in the Company/Contractor Properties window and make changes.
Once the password is set, activate the Locked check box to lock the Company/Contractor properties and prevent unauthorized changes to the data.
The Company/Contractor level data will be unavailable for editing or deletion.
Note: When a Company/Contractor node is locked, Attachments cannot be added to the Company/Contractor; however, Projects/Rig Operations can still be created under that Company/Contractor.
Locking Levels Below the Company/Contractor Level
To lock a node (i.e., Project, Site, Well, Wellbore, Event, and Report) and its data below the Company/Contractor level:
Define the Locked Data Password
Open the Company/Contractor Properties using the menu path File > Properties.
Click the Locked Data button. The Change Data Locked Password dialog box appears.
Enter the password in the New password and Confirm password fields and click OK.
This password will then be required if a user wants to "unlock" node properties and make changes. The password protection is applied to any node below the company node in the Well Explorer tree.
Lock the Data Node
Once the password is set, open the properties dialog for the node you want to lock and activate the Locked check box to prevent unauthorized changes to the data. (For example, to lock a Wellbore, open the Wellbore Properties dialog and activate the Locked check box.)
Once locked the node level data will be unavailable for editing or deletion.
To unlock a node:
Open the nodes Properties dialog box.
Deactivate the Locked check box.
A dialog appears prompting for a password.
Do one of the following:
If you are unlocking a Company/Contractor, enter the Company/Contractor Level password.
If you are unlocking a node below a Company/Contractor, enter the Locked Data password.
Click OK.
The data at the node can now be edited or deleted.
